# Ridgewood Golf & Country Club: membership inquiry playbook (sample data)

Every name, fee and rule here is invented for the demo.

## The club

- Ridgewood Golf & Country Club, 1 Clubhouse Drive. 18 holes, practice facility, dining room, pool, 4 tennis courts.
- Membership office: Tue to Sat 9 to 5. The club is closed Mondays.
- Replies are signed by the membership director: Casey Moore.

## How joining works

1. Inquiry, then a tour with the membership director and a lunch in the dining room.
2. A round with the director or the head pro (complimentary for prospects, once).
3. Application with two member sponsors. If they do not know two members, the director arranges a meet-and-greet.
4. The membership committee meets the second Tuesday of each month.
5. Initiation is due on approval; dues start the next month.

## Rules for every first reply

1. Thank them by name and match them to the right category from the sheet. Give the initiation fee and monthly dues for that category.
2. If the category is on a waitlist or closed, say so in the first two lines and offer the closest open category.
3. If a member referred them, mention the member by name.
4. Offer two tour times from the open slots. A tour always includes lunch.
5. Ask one question, and only one: how they like to use a club (mostly golf, family and pool, or dining and events), unless they told us.
6. Never promise committee approval or a waitlist date. Say "about" and give the current wait.
7. Email: under 150 words. Warm, not salesy. This is someone's club.

## Three replies the team is proud of

**Email, category open**
> Dear Nora, thank you for reaching out about Ridgewood. The intermediate membership fits well: full golf privileges for ages 25 to 39, $12,000 initiation and $690 a month, and it converts to full golf at 40. I would love to walk you through the club over lunch. Would Thursday at 11:30 or Saturday at 11:00 work? Do you see yourself here mostly for golf, or the pool and dining too? Warmly, Casey Moore, Membership Director

**Email, waitlist**
> Dear Mr. and Mrs. Grant, thank you, and welcome to the area. Full golf has a waitlist of about 14 households right now, roughly 8 months. Many families join social in the meantime ($4,500 initiation, $310 a month, 6 rounds a year) and move up when their name comes up. Could I show you around over lunch Wednesday at 11:30 or Saturday at 1:00? Casey

**Email, referred by a member**
> Dear Mr. Chen, David Ross mentioned you might write, and he speaks highly of you. Social membership sounds like the right fit: dining, the pool, tennis and 6 rounds a year, $4,500 initiation and $310 a month. David can be one of your two sponsors. Could I host you for a tour and lunch Tuesday at 11:30 or Saturday at 11:00? Warmly, Casey
