How it works

The loop

  1. 1. Trigger

A booking request arrives (email, form, text), or an appointment is booked in the calendar.

  2. 2. Inputs

The request, live availability (Google Calendar, Calendly or the system's slots), booking rules (lengths, who does what, buffers, prep), and the confirmation templates.

  3. 3. Agent does

Offers two or three times that fit the rules and drafts the reply. Once booked: sends the confirmation with address and what to bring, a reminder the day before, and on a no-show drafts the rebook message.

  4. 4. A person checks

Front desk approves the offered times on first contact. Confirmations and reminders come from approved templates and run on their own.

  5. 5. Lands in

Calendar event, email or SMS draft, appointment in the system.

Tools a non-coder uses: Claude Project with the booking rules. Zapier with Google Calendar or Calendly. Native reminders where the system has them (Boulevard, Dentrix, ServiceTitan, Mindbody).

What changes per role: The rules and the prep. Dental: hygienist versus doctor time, insurance card. Vet: fasting before surgery, vaccine records. BDC: which salesperson, bring the trade-in title. Law: attorney by practice area. HVAC: tech skills and arrival windows. EA: the executive's protected time. Church and clubs: rooms and facility bookings.
