One build, 10 roles
Check a file for missing documents and chase what is missing
Check a file for missing documents and chase what is missing. Compares the documents to the checklist, opens each to confirm it is signed, dated and matches (names, VIN, amounts), lists what is missing or wrong, and drafts the chase to whoever owes each item. This build has not been filmed yet; the page fills in once it is.

How it works
The loop
- 1. Trigger
A file reaches a stage (deal funded, loan submitted, bid due in 48 hours, job complete) or a daily sweep.
- 2. Inputs
The file's folder and documents, the checklist for that file type, and the file data (names, VIN, amounts).
- 3. Agent does
Compares the documents to the checklist, opens each to confirm it is signed, dated and matches (names, VIN, amounts), lists what is missing or wrong, and drafts the chase to whoever owes each item.
- 4. A person checks
The processor or clerk reviews the gap list and approves the chases.
- 5. Lands in
Checklist row per file, chase drafts, status note in the system.
Tools a non-coder uses: Claude Project holding the checklists. Zapier or Make on a Drive or Dropbox folder. Documents in an LOS or DMS are exported to a folder first.
What changes per role: The checklist and who gets chased. Title clerk: bill of sale, odometer statement, lien release, power of attorney. Mortgage: pay stubs, W-2s, bank statements, underwriting conditions. Bids: bond, forms, addenda acknowledged. Trucking: rate con, BOL, POD for billing. TC and paralegal: signed disclosures and court filings. Med spa: intake forms and consents. Restoration: moisture logs, signed work authorization, certificate of completion. Golf: application and sponsor letters.
