Answer routine calls, emails and questions from a knowledge base
Answer routine calls, emails and questions from a knowledge base. Sorts each message (routine, needs a lookup, needs a person, urgent). Drafts answers to routine ones citing the knowledge base section, and routes the rest with a two-line summary. Keeps a log of questions the knowledge base could not answer. How it works
The loop
- 1. Trigger
A new email, DM or form in the shared inbox, or a voicemail transcript.
- 2. Inputs
The message, the knowledge base (FAQ, policies, prices, hours, handbook) and the customer's record.
- 3. Agent does
Sorts each message (routine, needs a lookup, needs a person, urgent). Drafts answers to routine ones citing the knowledge base section, and routes the rest with a two-line summary. Keeps a log of questions the knowledge base could not answer.
- 4. A person checks
Staff approve drafts. Urgent and sensitive messages (medical, legal, HR complaints, coverage advice) always go to a person and are never drafted.
- 5. Lands in
Draft reply in Gmail, Outlook or the helpdesk, routed ticket, knowledge gap log.
Tools a non-coder uses: Claude Project holding the knowledge base docs. Zapier Gmail trigger plus Slack for routing, or the helpdesk's own AI pointed at the same docs.
What changes per role: The knowledge base and the escalation list. HR: the handbook, investigations escalate. Insurance: policy wording, coverage advice escalates to a licensed person. Vet: clinic hours and prices, emergencies escalate. Property: building rules and maintenance status. Church: service times and sacrament prep. Agencies and influencer teams: campaign status.
