Turn emails and calls into CRM or system records

Turn emails and calls into CRM or system records. Pulls out the fields, matches the record or creates a new one, writes a three-line activity note (what they want, what we promised, next step with a date) and flags any required field it could not fill. This build has not been filmed yet; the page fills in once it is.

How it works

The loop

  1. 1. Trigger

A call transcript, voicemail, web form or email lands (Gmail label, or the call tool's export to a Drive folder).

  2. 2. Inputs

The message or transcript, the field list for the record type, and the existing record if there is one (looked up by phone or email).

  3. 3. Agent does

Pulls out the fields, matches the record or creates a new one, writes a three-line activity note (what they want, what we promised, next step with a date) and flags any required field it could not fill.

  4. 4. A person checks

The rep reviews each row in a 'to log' sheet and approves it. Approved rows are written to the system. After two clean weeks, low-risk fields can go straight in.

  5. 5. Lands in

The CRM or system of record (fields plus activity note) and a next-step task.

Tools a non-coder uses: Claude Project (or ChatGPT project) holding the field list and three good example notes. Zapier: Gmail or Drive trigger, Claude step, Google Sheets approval, then the system's own Zapier app (HubSpot, Salesforce, Clio, ServiceTitan, Follow Up Boss). Where there is no app (CDK, Dentrix, Yardi, Encompass), the agent writes a paste-ready block or a CSV import file.

What changes per role: Only the field list and the record name change: a lead for BDC and SDR, a matter for law intake and paralegals, a load for freight and trucking, a repair order for RV, a member for church and golf, a creator for influencer teams. The system named on screen changes too (VinSolutions, Clio, McLeod, IDS, Planning Center).
