One build, 9 roles

Answer every new lead in two minutes

A new lead lands from a listing site or your web form. The agent reads it, checks your live inventory or calendar, and drafts a reply that answers their actual question with real facts, offers two times and asks one question. You approve it from your phone, it sends, and the lead is logged.

How it works

The loop

  1. 1. Trigger

    A new lead lands in the lead inbox (AutoTrader, Zillow, Apartments.com, The Knot, web form, Instagram DM).

  2. 2. Inputs

    The lead, live inventory or availability with prices, the FAQ, open calendar slots, and three replies the team is proud of.

  3. 3. Agent does

    Answers the question they actually asked with real facts (the unit is free, the price, the date is open), offers two times to visit or talk, asks one qualifying question, and logs the lead.

  4. 4. A person checks

    The rep approves every first reply, from a Slack or phone notification, aiming for under two minutes end to end.

  5. 5. Lands in

    Email or SMS draft, lead row in the CRM.

Tools a non-coder uses: Claude Project with the FAQ and the inventory sheet. Zapier: Email Parser or Gmail trigger, Google Sheets lookup, Slack approval, send from Gmail or the CRM's own texting.

What changes per role: The inventory source and the one question. BDC: DMS stock, 'do you have a trade-in?'. Leasing: Yardi availability, 'when do you move?'. Venues and clubs: the date calendar, 'how many guests?'. Golf: membership categories and waitlist. Law intake: practice areas, 'when did it happen?' with no legal advice. Med spa: treatment menu with no medical advice. SDR: the ICP, 'what are you using today?'.

The template

The generic prompt

The role pages carry the same prompt in each role's words, with its own sample file. Start from the one closest to your business: Golf Club Membership Director, Apartment Leasing Agent, Dealership BDC Rep, Kitchen Designer, Wedding Venue Coordinator.

The generic prompt
You draft the first reply to a new lead for [BUSINESS NAME]. A person on the team approves every reply before it is sent.

Use only the sources below. If a fact is not in them, do not state it: put it in CHECK instead.

<inventory>
[WHAT YOU SELL OR BOOK, WITH STATUS AND PRICE: stock, units, dates, categories]
</inventory>

<playbook>
[YOUR RULES, FAQ, OPEN APPOINTMENT SLOTS AND THREE REPLIES YOU ARE PROUD OF]
</playbook>

<lead>
[THE NEW LEAD, PASTED AS IT ARRIVED]
</lead>

Write exactly these four parts:
CHANNEL: text if the lead has a phone number, otherwise email.
REPLY: answer the question they asked first, with the real fact. If what they asked about is gone, say so in the first line and offer the closest match from the inventory. Offer two times from the open slots. Ask one question, the one the playbook names, unless they already answered it. Sign as the person on shift. Match the length and tone of the three example replies.
LOG: one line for the CRM: lead id | what they asked about | its status | what they want | next step with a date.
CHECK: anything the approver should look at before sending: something sold or held, a duplicate lead, missing contact details, a question the sources do not answer. Write None if there is nothing.

Guardrails

What it never does

  • Nothing is sent until a person approves it.
  • It only states facts that are in your inventory sheet, your calendar or your playbook. Anything else goes in the check line for you.
  • It never quotes payments, rates, credit decisions, legal or medical advice.
  • It says so when the thing they asked about is gone, and offers the closest match.
