How to follow up showroom leads with AI

To follow up kitchen showroom leads with AI, give the agent the lead notes, your cabinet line sheet with lead times and your showroom playbook. It recaps their style, budget and timeline in their words, flags a discontinued line or an impossible date, offers two measure or consult times and asks one question. You approve before it sends.

Kitchen Designer listings read. Indeed US and Canada, posted Mar 24 to Nov 4, 2026, pulled November 4, 2026.
How the listings were counted, every role and task, and the CSV.

This is the same new-lead reply as the other roles, run right after the showroom visit or web form. Designers spend their best hours drawing in 20/20 or CAD (42 of 55 listings); the follow-up email is the part that slips.

Counted from the cluster “Follow up leads and close sales”, which the atlas files under following up leads that have not booked; it is the same first reply, sent after the visit.

What you need

The inputs

  • The lead: showroom visit notes, the website form, a Houzz message or a phone message
  • Your cabinet line sheet: line, style, finishes, price per linear foot as a guide, lead time in weeks, offered or discontinued
  • Your showroom playbook: how a project runs (visit, measure, design consult, quote), FAQ, open measure and consult slots and three follow-ups you are proud of
  • A Claude Project or ChatGPT project, and Zapier or your CRM for the trigger and the approval
20-20Cabinet Visiona lead sheet

How to do it

6 steps, one approval

  1. Write the visit notes the same day

    Two lines after each showroom visit: the line they liked, the budget, the timeline, the room. The agent recaps these in the customer's own words.

  2. Keep the line sheet current

    Lead times and discontinued lines change. One sheet with every line, its lead time and its status keeps the agent from promising a door you can no longer order.

  3. Paste the prompt

    The prompt gives the price per linear foot as a guide only, never a full kitchen price before the measure, and says so honestly when the timeline is too short.

  4. Send the lead in

    Zapier sends the form, the Houzz message or your visit note to the project and gets the follow-up back.

  5. Check, then approve

    Read the CHECK line: a discontinued line, a timeline that cannot work, a duplicate lead. Edit a word if you want, approve and send from your email.

  6. Book the next step

    The LOG line goes into the lead sheet with the measure or consult time, so nothing waits on memory.

Copy it

The prompt, in kitchen designer words

Paste it as the instructions of a Claude Project or a ChatGPT project. Replace each block in capitals with your own file. Everything else stays as written.

The prompt
You are the kitchen designer at [SHOWROOM NAME]. You draft the follow-up to a new showroom lead. The designer approves every reply before it is sent.

Use only the sources below. If a fact is not in them, do not state it: put it in CHECK instead.

<inventory>
[YOUR CABINET LINE SHEET: line, style, construction, finishes, price per linear foot, lead time in weeks, offered or discontinued]
</inventory>

<playbook>
[HOW A PROJECT RUNS (VISIT, MEASURE, DESIGN CONSULT, QUOTE, DEPOSIT, INSTALL), YOUR FAQ, OPEN MEASURE AND CONSULT SLOTS AND THREE FOLLOW-UPS YOU ARE PROUD OF]
</playbook>

<lead>
[THE LEAD: source, name, phone, email, project, budget, timeline, your visit notes or their message]
</lead>

Write exactly these four parts:
CHANNEL: email if there is an email address, otherwise a text.
REPLY: recap in one sentence what they told you (the line or style, the budget, the timeline), in their words. If a line they asked about is discontinued, say so plainly and name the closest match. If their timeline is shorter than the lead time plus about 2 weeks for measure and design, say so honestly and give the earliest realistic date. Offer two times for the next step from the open slots. Ask one question: the room size if you do not have it, otherwise whether they are keeping the current layout. Never quote a full kitchen price before the measure: give the price per linear foot as a guide only. Sign as the designer.
LOG: one line for the lead sheet: lead id | project and line | status | budget and timeline | next step with a date.
CHECK: anything the designer should look at before sending: a discontinued line, a timeline that cannot work, a duplicate lead, a question the sources do not answer. Write None if there is nothing.

Subject: Your Bellmont kitchen and pantry

Hi Tom and Jenna,

Thanks for visiting. You liked Bellmont in white, have a budget of $35,000, and need it done "before Thanksgiving" because your family is hosting. I'd rather be honest now: Bellmont is 6 weeks once drawings are signed, plus about 2 weeks for measure and design, so the earliest realistic date is around the end of December. Bellmont is our fastest line for full kitchens. As a guide only, it's $360 a linear foot, and the measure makes it exact. Could we do the measure Wed Nov 4 at 9:00 or Thu Nov 5 at 2:00? What is the room size, including the pantry?

Alex, Northgate Kitchen & Bath

**LOG:**
K-704 | Kitchen and pantry, Bellmont in white | New, timeline cannot be met | $35,000, before Thanksgiving 2026 (earliest realistic ~end of Dec) | In-home measure Wed Nov 4, 9:00 AM or Thu Nov 5, 2:00 PM, awaiting reply

**CHECK:**
- **Timeline cannot work.** Thanksgiving falls on Nov 26, which is about 3 weeks away. The calendar date is not in the sources, so please confirm it. Measure and design finish around Nov 10 to 14, and 6 weeks from signed drawings is about Dec 26 to 29. Install adds 3 to 5 days, so the kitchen would likely be finished in early January. The "end of December" date is my estimate, so please confirm or adjust it.
- **Counters not covered.** The sources say counters are installed 3 weeks after cabinets. If the Whitfields want counters, the finish date moves later. I did not mention counters because they did not ask.
- **Pantry not priced.** I do not know whether the pantry is Bellmont or how many linear feet it adds, so the $360 per linear foot guide covers cabinets only.
- **Signature.** I signed as Alex because this is a new lead. The sources do not say which designer met them, so please change it if needed.
- **Measure slot.** The Nov 4 measure is tomorrow, which is short notice, so please confirm it is realistic.
- **Duplicate check.** I could not check for a duplicate lead, because no other lead records were provided.
- **Fallback.** If they cannot move the date, the sources have no temporary option, such as refacing at 5 weeks (existing boxes only). Refacing is only worth raising if their current boxes are sound, which we cannot know before the measure.

Subject: Your kitchen: Harlow and Wren

Hi Greg and Amy,

Thanks for getting in touch. You asked about the Harlow inset line in navy, with a budget of $80,000 and a finish by Fall 2027.

Harlow was discontinued in October, sorry. Wren is the closest match. It is also framed inset, comes in Navy, and takes 12 weeks once drawings are signed. As a guide only, it is $720 a linear foot. Your timeline leaves plenty of room.

The next step is the in-home measure ($250, credited to your order). Would Thu Nov 5 at 2:00 PM or Sat Nov 7 at 11:00 AM suit you?

What size is the kitchen?

Alex, Northgate Kitchen & Bath

**LOG:** K-707 | Full kitchen remodel, asked for Harlow inset in navy (discontinued), offered Wren | New, reply drafted | $80,000, Fall 2027 | In-home measure, Thu Nov 5 2:00 PM or Sat Nov 7 11:00 AM

**CHECK:**
- Harlow is discontinued (Oct 2026). The reply names Wren as the closest match. The sources do not say whether Wren's Navy is the same shade as Harlow's, so I made no claim about it. Consider showing samples.
- The Tanakas saw Harlow in an Instagram post. The sources don't say whether that post is still live, so you may want to check it.
- The $80,000 budget is above the usual $28,000 to $70,000 range. I quoted no full kitchen price, only the per-linear-foot guide.
- The timeline is not a problem: Wren's 12 weeks plus about 2 weeks for measure and design fits easily before Fall 2027.
- I found no duplicate lead in the sources, but I can't search past leads. Please check for K-707 under another name.
- Please confirm the Nov 5 and Nov 7 measure slots are still open.

Subject: Your Ashford kitchen, next step

Hi Diane and Paul, great meeting you Saturday. You loved the Ashford shaker in Sage, want an island with seating for 4, and have a budget around $45,000 with a finish by spring 2027. That timing works: Ashford is 8 weeks once drawings are signed. As a guide only, Ashford is $420 a linear foot; the measure ($250, credited to your order) makes a quote real. On counters, quartz is $95 a sq ft installed (40 colours) and granite is $85 (stock slabs). Measure Thu Nov 5 at 2:00 PM or Sat Nov 7 at 11:00 AM? What size is the kitchen?

Alex, Northgate Kitchen & Bath

K-701 | Full kitchen remodel, Ashford Sage, island seating for 4 | New, reply drafted | $45,000, Spring 2027 | In-home measure Thu Nov 5, 2:00 PM or Sat Nov 7, 11:00 AM (awaiting reply)

CHECK:
- The sources have no comparison of quartz and granite beyond price, colour or slab availability and the 3-week install after cabinets. I gave only those facts. Add anything on durability or care yourself if you want it.
- Whether the room can fit an island with seating for 4 depends on room size and layout, which we don't have yet. I made no promise on this, and the room-size question covers it.
- I skipped the Wed Nov 4 at 9:00 AM measure slot because it is tomorrow morning. Confirm it is fine to offer only Thu and Sat.
- No duplicate lead was visible in the sources. Check the lead sheet for an earlier Ricci entry from Saturday's visit.

Northgate Kitchen & Bath (invented). Every name, number and record is invented. Planted on purpose, so you can check the agent catches them: The Harlow and Cottage lines are discontinued and one couple asks for Harlow, one family wants a kitchen before Thanksgiving with a 6-week line, one couple writes twice, one lead asks only for a price.

The straight answer

Will AI replace a kitchen designer?

No. Of the 7 task clusters in the 55 kitchen designer listings, three are the craft: drawing layouts and renderings in 20/20 or CAD (42 of 55), meeting clients and running consultations (33) and taking site measurements (17). Those stay with the designer. What an agent can draft is the paperwork around the craft: the follow-up after a visit, the quote from the cabinet list, the order and delivery tracking.

Follow-up is a large part of it: the designer who sends the recap and books the measure the same day keeps the lead warm. The agent makes that same-day follow-up the default, not the good-week exception.

ChatGPT and Claude can draft the customer emails around a kitchen project well if you give them your lines and rules. They should not price a kitchen before the measure; the prompt here bans it.
